Turn a project into a workspace that makes sense to you.

Projx brings notes, tasks, files, tables, and lightweight financial tracking together on one flexible project board.

01 · QUICK START

Your first useful board in five minutes

  1. Sign in with Google.Your verified Google identity becomes your Projx account.
  2. Create a project.From Projects, select New project, name it, and add an optional description.
  3. Add a Task Space.Open the project, choose Add Space, select Task list, and give it a focused name.
  4. Add a task.Open it to add details, an assignee, priority, due date, and progress.
  5. Add context.Create a Notice for background and decisions, or a Media Space for supporting files.
Create a projectName a new workspace and open its first Notice Space.

Try three Spaces: Overview for the plan, Next actions for tasks, and Files for documents and images.

02 · PROJECTS

Give each body of work its own home

The Projects screen shows every project you can access. Each project holds its members, layout, Spaces, tasks, files, tables, and reporting notes.

Name and description

Use a recognizable name and a description that explains the desired outcome.

Icon or image

Choose an icon or supply an HTTPS image URL. It appears in navigation and project cards.

Background color

Choose a background that visually distinguishes the workspace.

Options

Open Options for layout, completed tasks, editing, membership, invitations, and actions available to you.

03 · SPACES

Use the right Space for the information

Spaces are movable panels on a project board. Several focused Spaces are usually clearer than forcing everything into one structure.

Write formatted notes, plans, decisions, links, images, and live calculations.

Task list

Track work with assignees, dates, priority, progress, comments, and optional amounts.

Media and documents

Keep uploaded images, files, and external links beside the work they support.

Organize rows and columns, import CSV or Excel data, and calculate column values.

Edit, resize, and minimize

Select Edit to change a title and Space settings. Drag the lower-right resize handle at any time. Use the minus control to minimize a Space; hover its tile for the full name and use the arrow to restore it.

Shape the workspaceResize, reposition, color, minimize, and restore Spaces on the project canvas.
Tasks can move into a minimized Task Space. Drag a task over its tile and drop when the tile highlights.

04 · TASKS

Track the work without overcomplicating it

Create tasks directly in a Task Space. Select a task to view it, or edit it to manage details.

Assignee

Assign a project member. A Task Space can provide the default assignee for new tasks.

Priority and due date

Use priority to surface important work and due dates for real timing commitments.

Progress

Set 0–100%. Saving 100% completes the task; lowering it below 100% reopens it.

Discussion

Keep questions, updates, and decisions attached to the task through comments.

Drag a task into another Task Space in the project. You can also give it a manual sort position when a precise sequence matters.

Add a Task Space Create a focused list and add its first task.
Fill in task details Add ownership, timing, progress, and context.
Completed tasks are not deleted. Use Show completed tasks to reveal or hide them without losing history.

05 · LAYOUT

Arrange the board around how you think

Move and resize Spaces on the project canvas. The project layout is shared by default for members who can edit it.

Custom Layout

Enable Custom Layout in Options for your own arrangement. Your positions, sizes, and minimized Spaces are remembered without changing another member's view.

Resolve overlaps

If showing completed work or restoring a Space creates a collision, Projx finds the next available area. Choose Auto-arrange whenever you want a clean layout automatically.

06 · AMOUNTS AND REPORTS

Add financial context only where it belongs

Amounts are optional at the Space level. A project can mix ordinary and financial Spaces; all amounts in a project are assumed to use the same currency.

Task Space amounts

Edit a Task Space and enable Track Amounts. Choose the default Expense or Income direction. Each task can then have an amount, direction, and Settled status. Completion means the work is finished; settled is a separate financial state.

Notice amount

Edit a Notice and enable Track Amount to give the Space one income or expense value—useful for a fixed quote, budget, payment, or adjustment.

Live calculations

While editing a Notice, select or type {{ to open the calculation chooser. Choose one Space or all financial Spaces, then a metric. You can combine tokens with +, −, *, /, and parentheses.

Metrics include income, expenses, net, total, completed, incomplete, settled, unsettled, outstanding, and focused completed or settled totals.

07 · TABLES

Bring structured information into the project

Create a blank table

Hover over the size grid to preview dimensions, then click a square to lock the selection. Add, remove, rename, and reorder rows or columns later.

Create and edit a tableChoose the initial dimensions, then shape the columns and enter data.

Import a file

Choose a CSV or Excel .xlsx file directly in the Add Space dialog. The first row becomes the headings. Public Users can import up to 100 data rows; Power Users can use substantially larger tables.

Column types

Leave a column on Automatic to infer text, numbers, or dates. Select an explicit type when the automatic choice is not right.

Table calculations

Insert a table calculation into a Notice with the chooser. Numeric columns support sum, average, minimum, maximum, and count. Dates support earliest, latest, and count.

08 · MEDIA

Keep supporting material close to the work

Use a Media Space to upload documents and images or save an HTTP/HTTPS link. Select an item to open it, edit its title and description, or join its discussion.

Images can also be inserted directly into rich-text notes and task descriptions. Uploaded files remain protected by the project and Space permissions.

Public User storage limits. A file can be up to 20 MB. Public Users receive 250 MB total storage, with up to 100 MB in one project and 500 stored files. The Projects screen and project Options menu show current usage.
Create a Media SpaceAdd a dedicated place for the files, images, and links that support the project.
Use meaningful titles.

A filename may make sense today but not six months from now. A descriptive title makes Media Spaces easier to scan.

09 · COLLABORATION

Share the right amount of the project

Project owners can invite someone by email. Invitations expire after seven days and can only be accepted by the matching Google account.

Whole project or selected Spaces

A contributor or reader can receive access to the entire project or only selected Spaces. Space-scoped members see only shared content and use a personal layout.

Use Copy link for someone who already has access. Use Invite when someone still needs membership.

10 · MY TASKS

See your work across every project

My Tasks gathers tasks assigned to you and groups them by project and Task Space. Projects with no visible assigned tasks stay out of the way.

  • Show completed tasks is independent from each project's setting.
  • Enable Custom Layout to position and resize Task Space groups.
  • Use Auto-arrange Task Spaces to resolve gaps or overlaps.
  • Open a task to return to its project context and edit all details.

Small habits that keep Projx useful

Make tasks actionable

Start titles with a verb: “Review quote,” “Call supplier,” or “Approve design.”

Keep reference work

Minimize older Spaces instead of deleting context you may need later.

Explain reports

Place calculation tokens inside useful Notice text instead of showing unexplained totals.

Use fewer due dates

Reserve dates for real commitments so overdue work remains meaningful.
